A long opportunity list can create the illusion of progress. A deadline-first review turns it into a set of decisions: what needs attention today, what needs more research, and what can wait.
Start with the date, then add context
Sort by response deadline to find the next hard constraint. Then add the information that changes the work required: notice type, expected response effort, customer fit, eligibility, and the availability of useful attachments.
- Today: confirm the deadline and identify the next owner or research step.
- This week: decide whether the opportunity earns response planning time.
- Later: keep researching only when the potential value justifies the time.
Use a small number of priority bands
Three bands are usually enough: act, assess, and monitor. Too many labels make the list look organized without making the next action clearer. Every item should have one owner and one next step, even when the step is to close it out.
Make the review repeatable
Choose a daily or weekly review window that your team can keep. SearchSam’s saved-search and watchlist workflows are built for keeping a shortlist visible as new opportunities appear and deadlines move closer.
